Terms and Conditions

All Virginia Tech Identification Cards (IDs) are governed by the policies and procedures of the university and the issuing organization.

All university issued IDs and badges are the property of Virginia Tech. Hokie Passport Services is the sole authorized provider of official university credentials. Individuals must be prepared to show their ID(s) to university officials upon request.

In order to obtain an ID, an individual must have an active/current affiliation with the university. Affiliations include but are not limited to enrolled students and current employees. Eligibility for an official ID and the type of card issued will be determined by Hokie Passport Services. This determination will be based on classifications within the university's system of record and other official university resources.

An individual may possess only one ID. Eligibility for a Departmental Badge is contingent upon departmental need and receipt of valid personnel information from the issuing organization.

Individuals will be required to present valid, original, and commonly recognized official photographic credentials at the time they obtain their ID. Current forms of valid photographic credentials accepted by Hokie Passport Services include U.S. state issued drivers licenses, International Passports, and the United States Military Identification Card. Photocopies, photographs, and electronic copies of the aforementioned credentials are not acceptable. Should your identity be unverifiable for any reason, additional documentation or processing may be required.

Employees and/or affiliate employees of the university are required to turn in their ID card and badge upon separation from the university.

The use of an ID card, badge, or credential by any person other than the person to whom it was issued, under false pretenses - including tampering, cloning, changing or otherwise attempting to change the card - and/or tampering with the technology or systems associated with the card including reverse engineering - is a violation of university policies, the Student Code of Conduct and all applicable local, state and federal laws.

The university reserves the right to confiscate any issued card.

Cards are nontransferable and should not be lent. Violation may result in the loss of card privileges and disciplinary action.

Fake, fraudulent and fictitious IDs and badges are credentials that purport to be official university credentials. The creation, production, cloning, marketing, distribution, possession and/or use of counterfeit university credentials is a violation of university policies, the Student Code of Conduct and all applicable local, state and federal laws.

Branding, defacement, or modification of IDs and badges (to include stickers/decals) is strictly prohibited.

A card must be replaced if the individual's appearance has changed so that identification is unreasonably difficult. A card must also be replaced if the individual's photographic image has worn away or changed so that identification is unreasonably difficult. Replacement may also be required if a card is damaged. Should your identity be unverifiable for any reason, additional documentation or processing may be required.

All access, rights, and privileges assigned to an individual card will be determined at the discretion of the university and are subject to change. An individual's use of card based services will be at the discretion of the university department providing the service(s). The utilization of card based services and card equipment will be subject to all applicable university policies and procedures as well as applicable local, state and federal laws.

The university may refuse to accept checks or eChecks from individuals who have previously had returned deposits and/or payments.

The university assumes no responsibility for unauthorized purchases from card based accounts prior to the card holder reporting the card lost or stolen.

Conference and Guest Services Cards are not classified as official identification credentials and are only valid thru the contracted duration of the conference or event. Lost or stolen Conference and Guest Services Cards should be reported to Conference and Guest Services.

To avoid potential damage and replacement fees, holes should not be punched in IDs and IDs should be kept away from wireless charging devices.
